Best Microsoft 365 Alternatives for Business in 2026

Eight ways to run mail, files, documents, chat and calls without a Microsoft 365 tenant, compared on what they cost per user, what they include, where the data lives and who each one is for. We sell one of them, MassiveGRID's Nextcloud Hub, and say so; the others are rated as honestly as we can.

Microsoft 365 business, after July 2026

Why teams look beyond Microsoft 365

Three reasons, in the order we hear them

Price. On 1 July 2026 Microsoft raised Business Basic from about $6 to $7 and Business Standard from about $12.50 to $14 per user per month, with Business Premium staying at about $22; existing customers see it at their next renewal. Add Copilot, compliance add-ons and the Teams unbundling in Europe and the bill is hard to predict. Our price increase page works through what it means for a 20-person company.

Data location and sovereignty. Microsoft chooses the regions. The EU Data Boundary helps European tenants, but the regions are still Microsoft's, US law still reaches a US company's data, and a growing number of European public bodies have concluded that is not enough. The European alternative page is for them.

Dependence. A company that lives in SharePoint, Teams and the Power Platform discovers at renewal time how hard it is to leave. Open standards are the cure, and most of the alternatives below speak them.

What we would tell a friend

1. MassiveGRID Nextcloud Hub

Managed Nextcloud Enterprise priced per user, with Nextcloud Office, Talk, a mailbox, calendar and contacts on every plan, in the U.S., E.U., U.K. or Asia at your choice, from $5.90. The honest limits: no custom domain on the shared platform (that is a dedicated instance), 50 users per online order, and Nextcloud Office is not desktop Excel. Our plan-by-plan comparison says where Microsoft still wins.

2. Google Workspace

The other big suite: Gmail, Drive, Docs, Meet and Calendar at about $7, $14 and $22 after Google's 2025 increase, with Gemini bundled. It solves the licence-complexity problem and not the data-location one, since Google also chooses the regions. The right answer for a company whose objection to Microsoft is the product, not the model.

3. Zoho Workplace

Cheap and complete: mail, WorkDrive, an office suite, Cliq chat and Meeting, from roughly $3 to $7 per user on annual billing. Zoho runs its own datacenters in several regions and has no advertising business. The ecosystem is smaller and the office apps are good rather than great.

4. Proton for Business

End-to-end encrypted mail, calendar and drive from Switzerland, from about $7 to $20 per user. Strongest on mail privacy, weakest on collaborative documents and video. The choice for a firm whose threat model starts with email.

5. openDesk

The German public sector's sovereign suite, assembled from open-source components including Nextcloud, with office, mail, chat, video and projects, distributed through ZenDiS and partners. Built for ministries and municipalities, and our openDesk guide explains when a company should look at it too.

6. ONLYOFFICE Workspace and DocSpace

Document-first collaboration with a Microsoft-like editor, self-hosted or in ONLYOFFICE's cloud. Good where the work is documents; thinner on mail and video. Note that ONLYOFFICE suspended its Nextcloud partnership in 2026 over the Euro-Office fork, which matters if you planned to combine them.

7. Zimbra

A mail and calendar server with a long enterprise history, licensed per mailbox through partners and hosted yourself or by them. The answer when the only thing you want to replace is Exchange.

8. Self-hosted Nextcloud

Everything Nextcloud Hub offers, for the price of a server and an administrator's time. Our cost comparison prices the hours honestly: cheaper above 50 users with staff in place, more expensive below.

Frequently Asked Questions

For most small businesses, a managed Nextcloud Hub plan: mail, files, office, chat and video from $5.90 per user per month on Nextcloud Enterprise, in the region you choose. Zoho Workplace is the cheaper SaaS option if provider-chosen regions are acceptable; Google Workspace is the choice if you want the other big suite.
Self-hosted Nextcloud is free software, and Zoho Workplace has a small free tier. Free is not free of cost: self-hosting needs a server and an administrator, which our cost comparison prices at more than a managed seat below about 50 users.
Nextcloud Hub in the E.U. or U.K. region (Frankfurt or London), Proton (Switzerland), openDesk in your own or a partner's datacenter, and self-hosted Nextcloud anywhere you rent a server. Google and Zoho have EU regions but choose them for you.
Nextcloud Office, ONLYOFFICE and Google Sheets all open and save XLSX and handle everyday spreadsheets well. Models with macros, Power Query and complex pivot tables are the cases to test with your own files; some companies keep a few Microsoft seats for finance and move everyone else.
About $7 for Business Basic, $14 for Business Standard and $22 for Business Premium per user per month on annual commitment in the U.S., effective 1 July 2026 for new subscriptions and at the next renewal for existing ones. Microsoft 365 is priced differently by region and reseller, so check your own quote.
