Short answer: for a company of 10 to 50 people, Nextcloud on a managed per-user plan is a complete replacement for Google Workspace or Microsoft 365: files, documents, spreadsheets, chat, video calls, email, calendar and contacts, with the data in a region you choose and nobody running a server. On MassiveGRID it costs $5.90 to $19.90 per user per month, which for a 20-person firm is $118 to $398 a month, and the rollout is a four-week project a non-technical office manager can lead. This guide is written for that person: what you get, what to pick, what it costs and how to switch without a weekend of chaos.
What a small business actually needs from Nextcloud
Strip away the feature lists and a 10 to 50-person company needs six things from its collaboration platform: a shared drive with sensible permissions, documents and spreadsheets several people can edit at once, a way to call and message each other, calendars that show who is free, mailboxes on the company's name, and a login that works on a laptop and a phone. Everything else is nice to have.
Nextcloud covers all six. Files is the shared drive, with folder permissions, version history, a trash bin and public links with passwords and expiry dates. Nextcloud Office edits DOCX, XLSX and PPTX collaboratively in the browser. Talk is chat, audio and video calls with screen sharing, with no app required for guests. Calendar and Contacts sync to every phone over CalDAV and CardDAV. Mail connects mailboxes into the same interface. The desktop client syncs folders on Windows, macOS and Linux, and the mobile apps upload photos and let people work from a train. The complete replacement guide maps each Google and Microsoft app to its Nextcloud equivalent.
What a small business does not need is to run the server. That is the whole case for a managed plan, and it is the assumption for the rest of this guide; if you have a Linux administrator with spare time, the managed vs self-hosted cost comparison will tell you whether to use them.
Which plan for which team
MassiveGRID's Nextcloud Hub plans come in three tiers, ordered online for 1 to 50 users, on a Nextcloud Enterprise platform with updates and daily backups included. Here is how the tiers map to real small companies.
| Plan | Per user per month | Pick it when | Example |
|---|---|---|---|
| Starter | $5.90 | You need files, documents, calls, calendar and a mailbox, and 100 GB per person is plenty | A 12-person consultancy leaving Google Workspace Business Starter |
| Business | $12.90 | Your work runs on boards and task lists, or people keep large files: adds Notes, Tables, Deck and Tasks, 1 TB per user and priority support | A 20-person design agency with video and print assets |
| Enterprise | $19.90 | You need Enterprise Email (delegation, shared mailbox features) and 24x7 support | A 40-person accountancy with assistants managing partners' mail |
Plans are chosen per order, so mixing is normal: partners on Enterprise, everyone else on Starter. Annual billing takes 20% off every seat, and the first month is $1 with coupon code NEXTCLOUD, which is the sensible way to run a pilot. The pricing guide has the worked examples.
What it costs against Google Workspace and Microsoft 365
Vendor list prices at the time of writing, per user per month, monthly billing where the vendor offers it; all of them change, so check before you decide.
| Tier | Nextcloud Hub | Google Workspace | Microsoft 365 | 20 users, per year on Nextcloud annual billing |
|---|---|---|---|---|
| Entry | Starter, $5.90 | Business Starter, about $7 | Business Basic, about $6 | $1,132.80 |
| Standard | Business, $12.90 | Business Standard, about $14 | Business Standard, about $12.50 | $2,476.80 |
| Advanced | Enterprise, $19.90 | Business Plus, about $22 | Business Premium, about $22 | $3,820.80 |
The seat prices are close enough that price alone will not decide it, and anyone who tells you Nextcloud is a tenth of the cost is quoting self-hosting without the hours. What the Nextcloud column buys for the same money is the part the other two columns cannot sell: your data in the region you choose, on open standards, with no advertising business attached and no per-feature upsell. The ROI framework is the long version for a board, and the Microsoft 365 licensing guide lists the add-ons that push the right-hand column up.
The limits to know before you order
- No custom domain on Hub plans. The shared platform runs under MassiveGRID's domain. Most small businesses do not mind for files and calls; if share links on your own domain are important to your brand, that is a dedicated instance, which starts at 50 users.
- 50 users is the online ceiling. Growing past it means moving to a dedicated Nextcloud Enterprise instance, which the team arranges with you. Plan for it if you expect to double.
- Nextcloud Office is not Microsoft Office. It opens and saves the same files and handles everyday documents well. Heavy Excel users with macros and complex pivot tables should pilot their worst spreadsheet first; the Office in practice guide is honest about where it falls short.
- Email migration is its own project. Moving mailboxes, MX records and old mail is the part that goes wrong when rushed. Give it its own week.
A four-week rollout for a company without an IT department
Week 1: order, name, invite. Order the plan for the people on the pilot (five is plenty), pick the region, and use the $1 first month. Set up the folder structure you want people to find, not the one you had before: three or four top-level shared folders with clear owners beats forty. Add the pilot users and install the desktop client on their machines. The first-month walkthrough is the checklist for this week.
Week 2: move one project. Pick a live project with files, a shared calendar and a weekly call, and run it entirely on Nextcloud. Files in Files, the call in Talk, the agenda in a Nextcloud Office document. This is where people discover what they miss and what they do not.
Week 3: decide and migrate data. Choose the plan for everyone, order the remaining seats, and move the data. The Google Workspace export guide, the Microsoft 365 migration guide and the Dropbox migration guide each cover their source in detail, including the shared links that will break and how to replace them.
Week 4: mail, phones, training, switch-off. Point MX records at the new mailboxes, connect calendars and contacts on every phone, run two 45-minute sessions using the non-technical onboarding playbook, and set a date to put the old suite into read-only. Keep the old accounts alive for a month in case something was missed, then cancel.
Total technical effort: a few hours of the office manager's time and one afternoon with whoever manages the domain's DNS. No servers, no agencies, and support is a ticket away if a step goes wrong.
Frequently Asked Questions
Is Nextcloud a good choice for a small business with no IT staff?
On a managed per-user plan, yes. The provider runs the server, updates and backups, and the company only administers users, folders and permissions through the web interface. MassiveGRID's Hub plans add ticket, priority or 24x7 support by plan. Self-hosting is the version of Nextcloud that needs IT staff.
How much does Nextcloud cost for 20 users?
On MassiveGRID's Hub plans, $118 a month on Starter, $258 on Business or $398 on Enterprise at monthly rates, before taxes, with 20% off on annual billing. All three include files, office, email, chat and video calls, so there is nothing to add for the basics.
Can Nextcloud replace Google Workspace for a small company?
Yes for files, documents, spreadsheets, presentations, chat, video calls, calendar, contacts and email, which is what most small companies use. Teams that depend on Google-specific tools such as Forms, Sites or AppSheet should list them and check the Nextcloud equivalents (Forms exists; the others need a different answer) before committing.
Does a small business need the Business or Enterprise plan?
Only if it needs what they add. Business is for teams that work in boards, tasks and tables or keep large files (1 TB per user). Enterprise is for companies that need Enterprise Email features such as delegation, and round-the-clock support. A 12-person firm that lives in documents and calls is well served by Starter.
How long does switching a small business to Nextcloud take?
About four weeks, with the pilot in week one, a live project in week two, data migration in week three and mail, phones and training in week four. The limiting factor is usually the mail cutover and people's calendars, not the files.
